Every business has tasks that get done over and over — onboarding a new customer, posting to social media, processing a refund, sending a weekly report. Without documentation, each repetition reinvents the wheel: different steps, different quality, different results.
Standard Operating Procedures (SOPs) fix this. A good SOP turns a 30-minute task into a 5-minute task — and makes it repeatable by anyone. Here's how our VAs create them.
Step 1: Identify Repeatable Tasks
The VA logs every task they do more than twice. These are SOP candidates — anything repeatable can be documented and systematized.
Step 2: Document the Process
The VA writes a step-by-step guide: what triggers the task, what tools are needed, each action in order, and what "done" looks like.
Step 3: Record a Video Walkthrough
A 2–5 minute Loom video shows the process in action. Visual learners can follow along, and new team members can self-train.
Step 4: Test & Refine
The VA follows the SOP as written to catch missing steps. The document is updated until someone unfamiliar can complete the task using only the SOP.
SOP: Weekly Social Media Report
Purpose: Summarize weekly social media performance for the client.
Trigger: Every Friday at 3 PM.
Tools: Google Analytics, Buffer, Google Sheets template.
Steps:
Done = Client has received the report with all metrics filled in.
📊 The Numbers
A client with 20 documented SOPs saves an estimated 8–12 hours per week in reduced training, fewer errors, and faster execution. That's the compounding power of systemization.
Our VAs don't just do tasks — they document and systemize them so your business runs without you.
